What Happens After Company Incorporation?

When a company is incorporated in India, the Registrar of Companies (ROC) issues a Certificate of Incorporation and assigns a CIN (Corporate Identity Number). From that exact moment, a set of information about the company becomes public record on the MCA portal.

This transparency is by design — the Companies Act, 2013 ensures that anyone can verify a company's existence, its directors, and its structure. For businesses that sell to other businesses, this public record is a goldmine of prospect data.

Immediately Available (At Incorporation)

The following fields are public the moment the certificate is issued.

CIN / LLPIN

The 21-character unique identifier assigned at incorporation. For companies it is the CIN; for LLPs it is the LLPIN. This number never changes and is the key you use to look up everything else.

Company Name

The registered legal name of the company, exactly as approved by the ROC. The name must be unique and must end with the appropriate suffix (Private Limited, Limited, LLP, etc.).

Date of Incorporation

The official date the company came into legal existence. This is the day your "fresh data" clock starts.

Registered Office Address

The official address filed with the MCA. This is where all legal notices and statutory correspondence are sent. As noted earlier, it may not be where the team actually works.

Company Category & Sub-Category

The structure of the entity: Private Limited, Public Limited, OPC (One Person Company), LLP, and so on, plus a sub-category such as *Non-govt company* or *Subsidiary of a foreign company*.

Authorised & Paid-Up Capital

The capital structure filed at incorporation — authorised capital (the ceiling) and paid-up capital (what shareholders have actually paid in).

Business Activity (NIC Code)

The primary business activity, classified using the National Industry Classification (NIC) code. This tells you what the company does and is essential for industry-level targeting.

Director Details

The names, DINs, and addresses of all directors at incorporation. The DIN lets you trace a director's other involvement.

Company Email

The email address filed with the registration documents. This is the primary electronic contact point on record.

Available After First Filing

Some information appears only once the company starts filing periodic forms.

Director Changes (Form DIR-12)

Filed whenever directors are added, removed, or their details change. This keeps the director list current over time.

Address Changes (Form INC-22)

Filed when the registered office address is updated. If a company moves, this form records the new address.

Annual Returns (Form MGT-7)

Filed once a year. Contains updated company details, the shareholding pattern, and the current director list. This is the most comprehensive periodic snapshot of a company.

Financial Statements (Form AOC-4)

Filed annually. Contains the balance sheet and profit & loss account. These filings are what analysts use to assess a company's financial health.

Available on Request (Not Free)

A few categories are not shown by default on the portal but can be accessed.

Charge Details

Records of loans, mortgages, and other charges against the company's assets. This reveals a company's debt obligations.

Detailed Director Information

A full director profile, including all other directorships the individual holds — useful for background checks and network mapping.

How to Access This Information

There are two practical paths:

  • MCA Portal (mca.gov.in) — manual, one company at a time, suitable for one-off lookups
  • Daily CSV services — bulk, automated delivery of fresh registrations, suitable for lead generation
  • For ongoing lead generation, the CSV route is far more efficient. See:

  • Pricing
  • Newly incorporated companies in India
  • What Information is NOT Public?

Not everything about a company is on the public record. The following remain private:

  • Bank account details
  • Tax returns (except GST registration status)
  • Employee data
  • Customer or client information
  • Internal contracts and pricing
  • Knowing what is *not* available helps you set realistic expectations and avoid chasing data that simply does not exist publicly.

How Long Does Information Stay Public?

Indefinitely. Even after a company is dissolved or struck off, its historical records remain on the MCA portal. This permanence is useful for historical research and for spotting directors who have shut down one venture and started another.
